Control report definition editing

Let staff run reports while reserving definition creation and mutation for the right people.

What you'll achieve

Set and verify the difference between Reports View and Reports Edit.

You'll end up with: Priya Sharma has Reports Edit and can create report definitions as an administrator.

Reports is always reachable, but its contents are not universal

Reports has View and Edit. There is no Hidden level. View opens the report list, runs reports, exports results, and browses available fields. Edit adds definition creation and duplication. Changing an existing definition also requires its creator or an Admin.

Reports does not override the underlying data permissions. A visible Reports navigation item does not make financial, contact, project, or staff rows visible. Discovery, execution, CSV, and PDF all require access to the report's base entity and admitted rows.

Compare View and Edit

  1. 1

Save Viewer for Priya Sharma and start Preview.

  2. 2

Open Reports and confirm New Report and definition actions are absent.

  3. 3

Stop Preview, save Admin, and preview again.

  4. 4

Open Reports and confirm New Report is visible.

    Step 4

Troubleshooting

  • Reports is still visible under Viewer. This is correct. Reports has no Hidden level.
  • A report category or saved report is missing. The person may lack its base entity.
  • A report opens with fewer rows. Row routing follows the underlying entity and project branch.
  • Edit is set but an existing definition is read-only. The person must also be its creator or an administrator.

Where this fits next

Build a definition in custom reports, or continue to Contacts.
