Add contacts to your projects
Give a contact a role on a project, create new roles on the spot, and see every project a contact touches from their own page.
What you'll achieve
Put the right people on each project with a named role, so the team always knows who to reach.
You'll end up with: A consultant holds a named role on two projects, and their contact page lists every project they are involved in.
Before you start
Every project has a cast beyond the client paying for it: the engineer you call about the slab, the certifier, the builder. Monument keeps that cast on the project's Contacts tab, so anyone on the team can find the right person, with their role, email and phone one click away.
We'll bring a structural engineering firm, Marsh Structural, onto two of Northlight's projects, each time with a role that says exactly why they're there.
One tab, the project's whole cast
Open a project and its Contacts tab. The billing contact sits at the top, the client the project's invoices are addressed to, set back when the project was created. Below it come the role contacts: everyone else the job depends on, each carrying a named role like Engineer or Builder.
The same tab surfaces in the schedule's side panel when you select a project, so the cast travels with you while you plan.
On the project page, contacts are managed directly. In the schedule's side panel, the add and remove controls only appear once you click Edit, the same toggle that unlocks the rest of the panel. Either way, editing rights on the project are required. Creating or managing roles also requires editing rights for Contacts.
Add a contact with a role
Click Add contact, and Monument asks two things in order: the role, then the person. Role comes first because it filters the picker, so contacts of the matching type surface before everyone else.
- 1
On the project's Contacts tab, click Add contact.
- 2
Pick a role, or, if you can edit Contacts, type a new name like Structural Engineer and create it on the spot.
- 3
Pick the contact. If they're not in the address book yet, choose New Contact and add them without leaving the project.
- 4
Click Add contact to save. The new row appears with its role badge.
Two things happen quietly along the way. A role you create here becomes a contact type the whole firm can reuse, the same list you'd see from the Contacts page. And a contact created from the picker gets automatically tagged with that role's type, so next time they surface at the top of the matching picker.
Structural Engineer, Certifier, Builder, whatever roles your practice actually uses, create them once and reuse them everywhere. Manage contact types, in the same dialog, opens the full list if it needs tidying up.
The same contact, more than one project
A consultant rarely works just one job. Open the next project's Contacts tab and add the same contact there, whatever role fits that engagement. Since Marsh Structural already carries the Structural Engineer type, the picker offers it first.
The payoff shows up on the contact's own page. Open Marsh Structural and its Projects tab, and every project the firm's involved in is listed, whether as a billing contact or through a role. One place answers "what are they on right now?".
Troubleshooting
- Can't see the add button? On the project page, that means no edit rights on the project. In the schedule's side panel, also check Edit's been clicked to unlock it.
- The person you want isn't in the picker. It starts filtered to contacts matching the role's type. Click Show all contacts at the bottom to widen it, or give the contact the type it's missing.
- Removing a contact from a project doesn't delete it. The remove button on a role row only takes them off this one project. The contact itself, and its history, stay in the address book.
Where this fits next
The cast is set. Give the team the right access with project permissions, or head back to Contacts and clients if the address book itself still needs building out.
