Fee groups on invoices
Bill a fee group as one printed line. Add it with Add Line Item, or group lines that are already on the invoice, and choose whether the line reads as a fixed amount or as progress.
What you'll achieve
Bill several fees as one line on the printed invoice, and choose how that line reads.
You'll end up with: An invoice where the client sees one line per fee group, while the invoice editor still shows what each fee billed.
Before you start
A fee group is a set of fees the client sees as one fee. You set up fee groups on a stage's Revenue list (see group fees under one price). On an invoice, a fee group is one line. The fees inside it are lines too, but only you see them.
What prints and what doesn't
The invoice editor shows a fee-group line with its items below it.
- The fee-group line prints. Its amount is always the sum of the items below it.
- The items do not print. Each item line shows a "not printed" tag. They stay in the editor so you can see what each fee billed, and so billed-to-date stays right for every fee.
- The accounting export matches the printout. Xero, QuickBooks and MYOB get one line per group.
Add a fee group line
- 1
Open a draft invoice and click Add Line Item.
- 2
When the project has fee groups, the suggestions show each group as one row marked Fee group. Tick it and add it. The invoice gets the fee-group line and a line for each fee inside it.
- 3
To start your own, choose Fee group as the Line type. Pick a fee group from the project, or leave it as an empty group.
- 4
Save the invoice.
Group lines that are already on the invoice
- 1
Tick two or more lines on the invoice.
- 2
Choose Group selected. The lines move under a new Fee group line.
- 3
To take lines out again, tick them and choose Ungroup.
Every line in a fee group bills at the group's tax code. Lines with different tax codes can't share a fee group, so Group selected is greyed out for them. To give them one tax code, tick the lines, choose Edit, tick Tax code and pick it; Group selected then works. Or keep the line outside the group.
Choose how the line reads
Each fee-group line has a Show on invoices as setting. It changes only how the printed line reads, never the amount.
| Setting | Printed line | Use it when |
|---|---|---|
| Fixed amount | 1 × $30,000.00 | The client pays this amount in this claim, and you don't want to show progress. |
| % progress | 25% × $120,000.00 | You claim a share of the group total, stage by stage. The percentage is this claim divided by the group total. |
A group you make starts as Fixed amount. Groups Monument made for you, from older fee breakdowns or from a CoinCraft import, start as % progress, because those fees were claimed as progress before.
Troubleshooting
- An item line has no "not printed" tag. The line is not inside a fee group, so it prints on its own. Tick it with the other lines that belong together, then choose Group selected.
- The group amount looks wrong. Check the items. The group always adds up what's inside it; you can't type over the group amount.
- Old invoices look different. Approved and issued invoices are never changed or printed again in the new layout.
