Task statuses
Set the stages your tasks move through: name them, colour them, order them by dragging, and choose the one new tasks start at.
What you'll achieve
Shape the task statuses so they match your firm's review process, in the order work actually follows, with the right default.
You'll end up with: Task statuses named, coloured and ordered to match your review process, with a default that every new task starts at.
Before you start
A status is the stage a task is in, and every firm has its own set. One practice moves work from To Do to In Review to Done; another needs a Client Approval stage in between. Monument lets you name the stages your work actually passes through, colour them so progress reads at a glance on the schedule, and decide which one every new task starts at.
We'll match the stages Northlight Architects uses on Riverside Apartments (RA), adding an In Review stage between the work being done and it being signed off.
How statuses work
Statuses live on the Application tab in Settings, under Task Statuses. Two things are worth knowing before you start.
The default status is where every new task begins. When you add a task on the schedule, it opens at the default status. Pick the one that matches "not started yet" for your firm.
Order is something you set by dragging. Arrange the list in the sequence your work really follows, earliest stage first. Each status also carries a colour, so its badge reads at a glance in the status list.
Add and arrange a status
- 1
In Task Statuses, click Add Status and name it, for example In Review. Pick a colour, and the preview shows the coloured badge as you go.
- 2
Create it. The status applies straight away, with no page save bar to click.
- 3
Drag a status by its grip handle to reorder the list into the sequence your work follows.
- 4
Set the status new tasks should start at as the default.
Reordering In Review ahead of Complete and setting it as the default both take effect immediately. Reload the page, or come back another day, and the order and the default are still exactly where you left them.
Troubleshooting
- Statuses apply immediately. Add, recolour, or reorder a status and the change sticks at once. There's no Save bar for this section, unlike code generation.
- Colour is doing real work in the list. The coloured badge is how you tell statuses apart at a glance, so choose colours that separate cleanly. Two near-identical purples read as the same status.
- Drop In Review on the row where you want it to land. The drag moves it directly to the row you release it on.
Where this fits next
A status says where a task is up to. A task type says what kind of task it is, and the two work together. You can also add custom fields to capture extra detail. The Customise Monument overview shows statuses, types and fields on screen in one pass.
