Customise Monument to your firm
Make Monument speak your firm's language: custom fields, task statuses and types, and the numbering for project codes and documents, with a video that shows all four.
What you'll achieve
Make Monument speak your firm's language: your own fields, statuses and types, and your numbering for project codes and documents.
You'll end up with: Custom fields, task statuses and types that reflect your process, and automatic codes for projects, invoices, quotes and purchase orders that match your existing numbering.
Before you start
Every firm has its own vocabulary and its own way of numbering things. Monument doesn't make you abandon yours: it lets you bend the app to fit. You can add fields it doesn't ship with, rename and recolour the statuses tasks move through, define your own task types, and set the patterns that auto-generate project codes and invoice numbers.
The video above tailors Monument for Northlight Architects end to end: a custom field to capture a council reference, a status that matches their review process, numbering that continues the scheme they've always used, and a task type they report on. This page is the map. Each of the four customisations has its own how-to below, so you can jump straight to the one you need.
Three shapes of customisation, on two tabs
Most customisation lives on the Application tab in Settings. Task types have their own Task Types tab. Whatever you're changing, it comes in one of three shapes.
Custom fields add information Monument doesn't track by default. A council reference, a contract type, a square-footage: anything you need to record on a project, task, contact or resource.
Statuses and types describe your process. A task status is a stage a task moves through, like To Do, In Review or Done. A task type is what a task is, like a discipline or a deliverable. You control colours, order and defaults; custom names are editable, while system task-type names and keys are fixed.
Code patterns decide how things are numbered. Instead of typing codes by hand, you describe a pattern once and Monument generates the next code for projects, invoices, quotes and purchase orders.
Like the rest of Settings, these controls are restricted to admins. The fields, statuses and patterns you set here apply to the whole firm.
Pick the customisation you need
- 1
Custom fields: record a detail Monument doesn't track, like a council reference on every project. See Custom fields.
- 2
Task statuses: set the stages your tasks move through, in the order your work follows. See Task statuses.
- 3
Codes and numbering: auto-generate project codes and invoice, quote and purchase order numbers. See Codes and numbering.
- 4
Task types: classify what a task is, with icons and colours you can filter and report on. See Task types.
- Custom fields: add information Monument doesn't track by default, attached to projects, tasks, contacts or resources.
- Task statuses: name, colour and order the stages a task moves through, and set the one new tasks start at.
- Codes and numbering: set the patterns that auto-generate project codes and document numbers.
- Task types: classify what a task is, with an icon and colour, ready to filter and report on.
On the Application tab, custom fields and task statuses apply the moment you add them. Code generation is the exception: it waits for the page save bar, so nothing changes there until you click Save.
Where this fits next
Monument now speaks your firm's language. Next, build the address book it all hangs off: Contacts and clients, the clients, consultants and suppliers you'll attach to projects, invoices and purchase orders.
