Creating and Managing Resource Pools

How to create resource pools, configure membership rules, and manage pool settings.

Overview

Resource pools let you group team members for scheduling and permissions. This guide covers creating pools, setting membership rules, and managing pool members.

Creating a Pool

  1. Navigate to Resources in the sidebar.
  2. Switch to the Pools tab.
  3. Click Create Pool.
  4. Enter a name for the pool (e.g. "Design Team", "Project Management").
  5. Choose a membership rule:
    • Explicit — you'll manually select members
    • Role — automatically includes everyone with a matching role
    • Department — automatically includes everyone in a matching department
    • Skill — automatically includes everyone with a matching skill
    • All — includes every resource in the organisation
  6. Click Create.

Adding Members (Explicit Pools)

For pools with Explicit membership:

  1. Open the pool by clicking its name.
  2. Click Add Members.
  3. Select team members from the list.
  4. Assign each member a pool role (Lead or Member).
  5. Click Save.

Managing Members

From the pool detail view:

  • Change roles — click a member's role badge to switch between Lead and Member.
  • Remove members — click the remove button next to a member (explicit pools only).
  • View capacity — see each member's allocated hours vs. available capacity.

Adding Tracks

Tracks are optional sub-groups within a pool:

  1. Open the pool detail view.
  2. Go to the Tracks section.
  3. Click Add Track.
  4. Enter a track name (e.g. "Interior Design", "Structural").
  5. Click Save.

When creating allocations, you can assign them to a specific track for more granular planning.

Editing Pool Settings

Click the pool name to open its settings:

  • Name — update the display name
  • Membership rule — change how members are determined
  • Description — add notes about the pool's purpose

Deleting a Pool

  1. Open the pool settings.
  2. Click Delete Pool.
  3. Confirm the deletion.

Deleting a pool doesn't delete its members or their allocations — it only removes the grouping.
